Where to Find Notes in the Workflow Builder

Notes are available from the workflow builder sidebar. This makes it easy to document the big picture, add step-by-step context, and drop visual reminders without leaving the canvas.

Quick tip: If you’re troubleshooting or reviewing a workflow with a teammate, open the sidebar tools first—then scan notes before changing any logic.

  1. Open the workflow builder for the workflow you want to review.
  2. Use the sidebar to access notes and other workflow tools.
  3. Keep notes open while you edit so documentation stays visible.

Workflow-Level Notes

Workflow-Level Notes provide high-level context and instructions for the entire workflow. Use them to explain the goal, the audience, and any “do not change” rules your team should follow.

How to add Workflow Notes

  1. Open the workflow you want to document.
  2. Open the notes panel from the workflow builder sidebar.
  3. Write a clear overview (goal, triggers, and expected outcome).
  4. Save your workflow—notes are stored with the workflow.

Recommended: Include the workflow purpose, who it applies to (tags/pipeline stage/source), any critical steps that must remain, and who owns it.

Notes also show author and edit history so your team can track who created and updated them.

Action-Level Notes

Action Notes attach directly to individual workflow actions. Use them to explain why a step exists, what it depends on, and what will break if someone changes it.

How to add Action Notes

  1. Open the workflow builder and locate the action you want to document.
  2. Hover over the action and click the notes icon on the action card.
  3. Add a short explanation (why it exists + expected result).

Best practice: For complex steps, include the “why” and the “expected result.” That’s what prevents accidental edits later.

After adding an Action Note, the notes icon stays visible on that action and your notes appear in the centralized notes view for quick review.

Sticky Notes

Sticky Notes are highly visible notes placed directly on the workflow canvas—perfect for reminders, hand-off instructions, and visual guidance for anyone editing the workflow.
