What Voicemail Does

BizStackPro plays your uploaded voicemail when inbound calls aren’t answered within the Timeout you set—helping you avoid the forwarding line’s native carrier voicemail taking over.

Upload Your Voicemail Audio

You can upload voicemail files (MP3/WAV) at two levels.

  1. User Voicemail: Settings → My Staff → Edit user → Call & Voicemail Settings
  2. Business Voicemail: Settings → Phone Numbers → Advanced Settings → Voicemail & Missed Call Textback

When does Business voicemail play? If the incoming number and the contact are not assigned to any user, the Business voicemail plays when no one picks up.

Set an Inbound Timeout to Beat Carrier Voicemail

If you don’t set a Timeout, many carriers answer with their own voicemail around 60 seconds. Set a shorter Timeout (typically 1–20 seconds) so BizStackPro can drop the call first and play your voicemail audio.

Where to Set Timeouts

  • User level: Settings → My Staff → Edit user → Call & Voicemail Settings
  • Number level: Settings → Phone Numbers → pencil icon (per number)
  • Company level: Settings → Phone Numbers → Advanced Settings → Voicemail & Missed Call Textback

Priority Order

  1. User settings (if the number is attached to a user)
  2. That phone number’s settings
  3. Company settings

Set Timeout to 1 second to confirm BizStackPro voicemail plays. Then increase gradually (10s, 15s, 20s) as needed.

Find Call Recordings

  • Reporting → Call Reporting to browse logs and play/download recordings.
  • Open the contact’s Conversation thread to play/download a specific call.

Troubleshooting Voicemail Playback

  • Confirm the number is assigned correctly and voicemail audio exists at User or Business level.
  • Verify a forwarding number or business phone exists—BizStackPro needs a destination to ring before it can drop to voicemail.
  • Set Timeout ≤ 20s (try 1s to test). Increase once confirmed.
  • Disable DND or “instant voicemail” on the forwarding line (carrier voicemail can answer immediately).
  • Use a compatible MP3/WAV. If you see issues, convert to ~64 kbps MP3.

Default fallback message

If a Timeout is set but no voicemail file is found, callers may hear: “We are unable to take your call right now. Please leave a message after the beep.”
