Understanding the Workflow Settings Tab

The Workflow Settings tab is the control center for your automation— letting you fine-tune timing, sender details, and contact behavior so workflows run clean and predictable.

Keeping Automation Predictable Instead of Wondering Why Workflows Behave Differently

Workflow automation becomes harder to manage when messages send at unexpected times, contacts re-enter workflows incorrectly, or settings vary without a clear system controlling behavior.

BizStackPro Workflow Settings control important automation behavior like communication timing, sender information, enrollment rules, re-entry handling, and workflow-level contact management.

Without properly configured workflow settings, businesses may create inconsistent customer experiences, accidental automation issues, duplicate enrollments, or communication timing problems that become difficult to troubleshoot.

This guide explains how Workflow Settings work, how workflow-level controls affect automation behavior, and how to build cleaner automation systems inside BizStackPro.

Before building larger automation systems, it helps to understand how communication settings, sender controls, re-entry behavior, contact management settings, and workflow logic work together inside BizStackPro.

Why Workflow Settings Matter

Workflow Settings determine when messages are allowed to send, who they appear to come from, and how contacts behave inside the workflow (re-entry rules, response handling, opportunity behavior). Set these correctly and your automation becomes reliable, compliant, and easier to troubleshoot.

Important: Settings are applied per-workflow. That means you can keep “Sales” workflows aggressive and “Support” workflows conservative—without one affecting the other.

How to Access the Workflow Settings Tab

  1. Go to Automation → Workflows.
  2. Create a workflow or open an existing one.
  3. Inside the builder, click the Settings tab.

Communication Settings

Use these settings to control delivery timing, timezones, and default sender information. This helps prevent “wrong time” messages and keeps your branding consistent.

  • Time Window: Choose Any Time or Specific Time. Specific Time lets you restrict messages to certain days/hours (helpful for business-hour campaigns).
  • Timezone: Use Account Timezone for consistent office hours, or Contact Timezone for global audiences and better response rates.
  • Sender Details: Set default From Name and From Email for workflow emails. Some individual actions can override these defaults.
  • Custom Values: Use the tag icon to insert dynamic values (for example, assigned user details) so messages feel personal.
  • From Number: Select the phone number used for SMS steps in this workflow (great for teams/regions).
  • Mark as Read: Auto-mark workflow-sent messages as read to keep inboxes clean for your team.

Note: Workflow-level sender settings act as defaults. If an individual email action has its own “From” settings, that action can override the workflow defaults.

Use Cases for the “From Number” Field

  • Assign different numbers for Sales, Support, and Operations.
  • Use specific numbers for client accounts if you’re an agency.
  • Choose local numbers to improve trust and increase reply rates.

Tip: Keep one workflow per “conversation lane” (sales vs support) so the From Number stays consistent for the contact.

Contact Management Settings

  • Allow Re-Entry: Decide whether contacts can enter the same workflow again after they finish. This is useful for renewals, recurring follow-ups, and seasonal campaigns.
  • Stop on Response: Automatically stop the workflow when a contact replies to a workflow-sent message. Great for sales and support to prevent “automation spam” after engagement.
  • Allow Multiple Opportunities: If enabled, each opportunity for the same contact can run its own independent workflow execution.

Reality check: If you allow re-entry and you’re not tracking progress (tags/fields), you can accidentally create loops. Use clean exit conditions and “already processed” markers.

Example: Allow Multiple Opportunities

If a contact has multiple active opportunities (multiple deals, properties, projects, or pipeline items), this setting keeps each opportunity’s automation separate.

  • Each opportunity triggers a separate workflow run.
  • Updates to one opportunity won’t collide with another.
  • Ideal for sales teams and multi-deal pipelines.

Error Monitoring & Notifications

Workflow Settings can help surface issues faster so you can fix problems before they impact more contacts.

  • Get notified when errors occur (via email notifications where available).
  • Review issues in a dedicated Needs Review area/tab (when supported).
  • Use logs to identify failed steps and update your workflow logic.

Best Practices

  • Use Contact Timezone when your audience is spread across time zones.
  • Enable Allow Re-Entry only when you have clear rules for “who should re-enter and when.”
  • Use Stop on Response in sales/support to avoid sending messages after the contact engages.
  • Verify sender email/domain settings to improve deliverability.
  • Avoid overly strict time windows for urgent automations (like appointment confirmations).

Make your workflows feel human—without doing the work manually

Set the right timing, sender, and contact controls once—and keep every automation clean, consistent, and easy to manage.

Frequently Asked Questions

Can I use different settings for different workflows?

Yes. Each workflow has its own Settings tab and can be configured independently.

Do Workflow Settings override individual actions?

Workflow Settings apply at the workflow level, but some actions (such as email steps) can override defaults.

What happens if I change settings after contacts are enrolled?

Changes apply only to new contacts entering the workflow. Existing enrollments keep prior settings.

How does Allow Multiple Opportunities work?

When enabled, each opportunity for a contact triggers its own workflow execution, allowing independent automation per opportunity.

Build smarter, cleaner automations

Workflow Settings give you precision control over every automation—so your messages land at the right time, from the right sender, with the right logic.
