Social Planner Notifications

Configure alerts for token pre-expiry, account expiration, post approvals/rejections, and failed posts—so your team can fix issues fast and keep content publishing on schedule.

Catching Social Media Problems Before Scheduled Content Fails

Social media workflows can quietly break when tokens expire, posts fail, approvals stall, or disconnected accounts stop publishing content without immediate visibility.

The Notification system inside the BizStackPro Social Planner provides automated alerts for account expirations, failed posts, approval requests, rejected content, and other publishing-related events.

Without structured notifications, businesses and teams may not notice publishing failures until scheduled content is already missed or social accounts become disconnected.

This guide explains how to configure Social Planner notifications, assign recipients, customize reminder frequency, manage approval alerts, and organize notification templates inside BizStackPro.

Before relying on automated publishing workflows, it helps to understand how notification settings, reminder frequency, email templates, and user assignments function inside the BizStackPro Social Planner.

Overview

Social Planner notifications help you stay on top of the events that can interrupt publishing—like expiring tokens, disconnected accounts, and failed posts—plus workflow items like approvals and rejections.

You can control who receives each notification, how often reminders are sent, and which email templates are used so alerts match your brand voice and your team’s workflow.

How to Access Social Planner Notification Settings

  1. Go to Marketing.
  2. Open Social Planner.
  3. Click the gear icon next to New Post to open Social Planner Settings.
  4. Select the Notification tab.

Best practice: Assign expiration notifications to the people who can actually reconnect accounts/tokens, and assign approval notifications to the people who review content.

Account Pre-Expiry Notifications

Pre-expiry alerts help you refresh tokens before they expire—preventing unexpected disconnects and missed publishing.

  1. In the Notification tab, find Account Pre-Expiry.
  2. Click the pencil icon to edit.
  3. Select which sub-account users should receive the alert.
  4. Set the reminder frequency.
  5. Select the email template used for this notification.

Account Expired Notifications

These alerts notify your team when a token has already expired and needs to be reconnected so posts can publish again.

  1. In the Notification tab, locate Account Expired.
  2. Click the pencil icon to edit.
  3. Choose the sub-account users to notify.
  4. Set how often reminders should send until fixed.
  5. Pick the email template used for the alert.

Reminder tip: If reminders feel noisy, reduce frequency. If issues are missed, increase it. Tune this to match your team’s response speed.

Approval & Rejection Notifications

Social Planner supports approval workflows with separate notifications for each stage:

  • Request for Approval — notifies reviewers that a post is waiting.
  • Approved Post — tells creators that a post was approved.
  • Rejected Post — tells creators that a post was rejected.

How to configure each one

  1. In the Notification tab, locate the notification (Request/Approved/Rejected).
  2. Click the pencil icon.
  3. Select the email template and the users who should receive it (where available).
  4. Save your changes.

Failed Post Notifications

Failed post alerts tell you when a scheduled post didn’t publish successfully—so you can troubleshoot, reconnect accounts, and reschedule quickly.

  1. In the Notification tab, find Failed Post.
  2. Click the pencil icon.
  3. Select recipients and choose the email template.
  4. Save.

Customize Notification Email Templates

You can change the look and message of Social Planner notifications by creating (or editing) email templates and assigning them per notification type.

Step 1 — Create or edit a template

  1. Go to Emails.
  2. Select Templates.
  3. Click New (or open an existing template).
  4. Choose Email Marketing Template and edit content as needed.

Step 2 — Assign the template to a notification

  1. Return to Marketing > Social Planner.
  2. Open the gear icon (Settings) → Notification tab.
  3. Edit the notification and select your template in the template dropdown.
  4. Save.

Template tip: Use clear subject lines (example: “Action required: social account token expiring”) and include direct links to where the user should reconnect or review the post.

Best Practices

  • Send alerts to owners: Pre-expiry/expired notifications should go to the people who can reconnect accounts.
  • Keep subjects obvious: Use “Action Required” language so alerts aren’t ignored.
  • Include quick links: Add direct links to the integration or Social Planner area where action is needed.
  • Tune reminder frequency: Adjust if the team is getting too many (or too few) alerts.

Stay ahead of disconnects and failed posts

Configure notifications once, then let alerts catch token issues, approvals, and failures so your social schedule stays consistent.
