Standard contact fields rarely capture everything a business needs, especially when onboarding clients, qualifying leads, collecting intake details, or tracking industry-specific information.

Custom Fields allow BizStackPro users to create additional contact data fields that can be reused across forms, surveys, contact records, workflows, and automation systems.

Poorly planned field structures can create disorganized records, inconsistent automation behavior, duplicate data collection, and confusion as the CRM grows over time.

This guide explains how to create, organize, and manage Custom Fields, choose appropriate field types, structure folders, and use contact data effectively throughout BizStackPro.

Before creating new fields, it helps to understand how Custom Fields function across forms, workflows, and contact records inside the platform.

Overview

Custom Fields let you go beyond standard contact fields by storing any extra details you need—preferences, qualifiers, account details, or niche-specific data. Once created, Custom Fields become available across multiple features, so you can reuse them consistently in forms, surveys, and workflows.

Good to know: Plan your folder structure early (for example: Lead Intake, Qualification, Billing, Onboarding) so your contact records stay easy to scan as your field count grows.

Step 1: Create Custom Fields

Create Custom Fields from your settings so they’re available everywhere you need them.

  1. Open Settings: Click Settings in the left navigation.
  2. Go to Custom Fields: Select Custom Fields from the Settings menu.
  3. View all fields: If needed, click All Fields.
  4. Add a new field: Click Add Field and configure the details.

Important: Once you create a Custom Field, you cannot change its field type. If you need a different type later (for example, Text → Dropdown), you’ll need to create a new field and retire the old one.

Common Field Types You Can Use

When you add a Custom Field, choose the type that matches how you’ll collect and use the data.

  • Text (single line): quick answers
  • Text (multi-line): notes or longer responses
  • Number / Monetary: budgets, totals, quotes

Step 2: Use Custom Fields in Forms, Surveys & Workflows

  1. Open the Form Builder or Survey Builder.
  2. Find the Custom Fields section in the builder sidebar.
  3. Drag & drop your field into the layout.
  4. Set label, placeholder, and required status.

Note: You can create a field inside the builder, but long-term management (renaming, moving folders, deleting) should still be done in Settings → Custom Fields.

Workflows & Automation

Use Custom Fields as conditions (branch logic) and as data sources in actions (like personalizing messages or updating CRM records). This makes your automation smarter because it reacts to the information you collect.

Step 3: Edit, Delete & Organize Custom Fields

Edit or Delete

  1. Go to Settings → Custom Fields.
  2. Select one or more fields.
  3. Use Bulk Actions to edit or delete.

Folders (Groups)

Create folders to group related fields. This helps keep the Custom Fields list clean and makes the Additional Info section in the contact record easier to navigate.

Reorder Fields in Contact Records

  • In Settings → Custom Fields, locate the field list.
  • Use the drag handle (three lines) to drag-and-drop fields into the order you want.
  • Your ordering reflects how fields display under Additional Info in contact profiles.
