Phone Number Settings Explained – BizStackPro Help

Phone Number Settings Explained

Configure forwarding, caller ID, Call Connect, timeouts, recording, and compliance tools so every call and text behaves exactly the way you expect.

Controlling How Your Business Phone Numbers Behave

Business phone numbers often need more than basic call forwarding—they may require custom caller ID behavior, voicemail routing, recording rules, and automation controls.

BizStackPro phone number settings allow you to configure how inbound and outbound calls behave, how users receive calls, and how automations interact with phone activity.

Without understanding these settings, calls may route incorrectly, automations can behave unexpectedly, and reporting accuracy may suffer.

This guide will walk you through the available phone number settings so you can configure your phone system to match your business workflows and communication needs.

To begin, review where to find phone number settings and how each configuration option affects call handling and routing.

Where to Find Phone Number Settings

  1. Go to Settings → Phone Numbers.
  2. Click the pencil (edit) icon for the number you want to configure.

Tip: Name your numbers clearly (example: Main Sales, Support Line, Marketing) so staff can pick the right number quickly.

Core Fields

  • Number Name: Internal label used by your team.
  • Forwarding Number: The destination that inbound calls route to.
  • Pass Called Number As Caller ID: Displays the purchased number as caller ID (instead of the caller’s original number) where applicable.
  • Use Your Verified Number as Caller ID (Outbound): Shows a verified caller ID on outbound calls (useful for consistent branding and answer rates).

Call Connect & Whisper Message

  • Call Connect requires the receiver to press a key before the call is connected—this helps confirm a human answered.
  • Without Call Connect, voicemail may be treated as a “connected” answer which can break automations and reporting.
  • Whisper Message plays to the receiver when Call Connect is enabled (example: “BizStackPro call—press a key”).

Whisper personalization: You can include custom values like so reps know who the call is for.

Recommended: Enable Call Connect if you rely on call-based automations like Missed-Call Text-Back or precise “answered vs missed” logic.

Call Recording

  • When enabled, calls can be recorded and published inside the contact’s Conversation stream.
  • Add a recording disclosure in your whisper message (example: “This call may be recorded for quality purposes”).
  • Follow your local recording and consent laws.

Inbound & Outbound Timeouts

Inbound Timeout

  • 60s (or blank): Lets personal voicemail capture the call.
  • 1–4s: Routes quickly to a pre-recorded voicemail inside BizStackPro (upload MP3/WAV where your voicemail audio is managed).
  • ~20s: Rings long enough for a quick answer, but still routes to BizStackPro voicemail instead of personal voicemail.

Outbound Timeout

Controls how long an outbound call rings before dropping. A common setting is ~30 seconds for voicemail-drop campaigns or when reps only want quick connects.

Default behavior: If timeouts are not specified, inbound and outbound timeouts typically default to 60 seconds.

Ring Incoming Calls to Users

  • Choose one or more users who should receive inbound rings for this phone number.
  • If the user can receive calls in both the Web App and Mobile App, ringing may prioritize the Web App.

Compliance Tools & Messaging Limits

  • Restriction History: Review warnings, compliance notices, and temporary restrictions (permissions may be required).
  • Messaging Limit: View the Messaging Ramp Progress card to see your current tier and what to expect next.
  • Find these under Settings → Phone Numbers → Advanced Settings.

Pro tip: Review restriction history regularly—catching rising error/opt-out signals early helps protect deliverability.

Route calls the way your business actually works

With Call Connect, smart timeouts, and user ringing, you can control how calls land—while keeping reporting and automations accurate.

What is a Whisper Message?

A short announcement played to the receiver when Call Connect is enabled. You can include custom values like .

How does Call Recording work?

When enabled, calls are recorded and published in the contact’s conversation stream. Add a disclosure in your whisper and follow local laws.

How should I set Inbound Timeout?

60s/blank for personal voicemail, 1–4s for a BizStackPro pre-recorded voicemail path, or ~20s to ring then route to BizStackPro voicemail instead of personal.

What’s a good Outbound Timeout?

What does “Ring incoming calls to users” do?

It lets you pick one or more users to ring on inbound calls. If Web and Mobile are both available, Web App ringing may be prioritized.

Where do I review SMS violations and limits?

Check Advanced Settings → Restriction History for warnings/restrictions, and Advanced Settings → Messaging Limit for your Messaging Ramp Progress card.
