Before You Start

This workflow requires that you already have a calendar created in BizStackPro. If you don’t have one yet, create your calendar first—then come back and build your workflow.

Step-by-Step: Appointment Booking Workflow

Step 1: Create a Workflow

  1. Go to Automation in the left menu.
  2. Click Workflows at the top.
  3. Create a new workflow (or open an existing one).

This opens the Workflow Builder where you’ll configure triggers and actions.

Step 2: Select the Trigger and Calendar Filter

  1. Click Add New Trigger.
  2. Select Customer Booked Appointment.
  3. Click Filter.
  4. Select the calendar that should trigger this workflow.

Note: If you leave the calendar filter empty, the workflow will trigger for appointments booked on all calendars.

Step 3: Add Your Actions

Choose what should happen after an appointment is booked. You can add multiple actions to build the exact follow-up you want.

  • Remove the contact from other workflows
  • Add the contact to a new workflow
  • Add or update an opportunity in a pipeline
  • Send confirmation or reminder emails/SMS
  • Send internal notifications to your team

Important: If you’re removing and adding workflows together, place the Remove action before the Add action to avoid conflicts.

Step 4: Publish and Save

  1. Turn the workflow toggle on to Publish.
  2. Click Save.

Your workflow is now active and will trigger when appointments are booked.

Customer Booked Appointment vs Appointment Status Trigger

  • Customer Booked Appointment: Fires immediately when the appointment is booked.
  • Appointment Status: Fires when the appointment status changes (for example, to Confirmed).

Rule of thumb: Use Customer Booked Appointment for instant confirmations and internal alerts. Use Appointment Status when you only want actions after a status change (like confirmation).
