How to Send a Test Email and SMS

Learn how to test workflows the right way, send test emails, preview templates, and troubleshoot SMS or email issues in BizStackPro.

Testing Automations Before Real Leads Experience Broken Messages

Automation workflows can appear correct inside the builder but still fail when real contacts move through the sequence and messages begin sending.

BizStackPro provides multiple ways to test email and SMS workflows so businesses can verify message timing, personalization, deliverability, and automation behavior before going live.

Without proper workflow testing, businesses may send broken links, empty custom values, failed SMS messages, or incorrectly timed automations directly to real leads and customers.

This guide explains how to test workflows using real contacts, send template test emails, troubleshoot email and SMS delivery problems, and validate automation behavior inside BizStackPro.

Before launching email or SMS automations, it helps to understand how workflow testing, custom values, deliverability settings, contact enrollment, and template previews work together inside BizStackPro.

Overview

There are two common ways to “test” messaging in BizStackPro: sending a quick test from a template builder, or running a real contact through a workflow. Both are useful—but they don’t always behave the same way.

Best practice: If you want the most accurate preview (timing, sequencing, and personalization), enroll a real test contact into the workflow. Test sends from the builder may not populate all custom values.

Part 1: Test a Workflow as a Contact (Recommended)

This method shows exactly what a lead will receive because it uses a real contact record and executes your workflow steps in order.

Step 1: Add yourself as a test contact

  • Go to Contacts.
  • Create a new contact for yourself.
  • Important: Use a different email/phone than your BizStackPro login (recommended for clean testing).

Step 2: Enroll the contact into the workflow

  • Open the workflow you want to test.
  • Use Add Workflow / Add to Workflow.
  • Select your test contact.
  • Leave the event date blank (unless your workflow requires one).
  • Click Add to enroll the contact.

Retesting tip: If you’re testing multiple times with the same contact, make sure Allow Multiple is enabled (when applicable), or use a fresh test contact.

If you don’t receive the test message

  1. Confirm the workflow is published and the contact is enrolled.
  2. Open the contact record and review activity to see if the step sent, failed, or is waiting.
  3. If SMS didn’t arrive: verify your phone/SMS configuration and confirm the number format is correct.
  4. If email didn’t arrive: check spam/junk, then verify your sending configuration and domain authentication.

Part 2: Send a Test Email From the Email Template Builder

Test emails are helpful for checking design, layout, subject line, and sender details. However, some custom values may appear blank because the send isn’t always tied to a real contact record.

Step-by-step

  1. Go to Marketing → Emails → Templates.
  2. Select the template you want to test.
  3. Click the three dots menu (top-right).
  4. Select Test Email.
  5. Enter your From, To, and Subject details.
  6. Click Send Test Email.

Reminder: Custom values like {{contact.name}} may not populate in a test send. Use workflow testing for a true personalization preview.

Troubleshooting Test Email and SMS Issues

Receiving an error when sending a test email

  • Confirm custom values are formatted correctly (for example: {{contact.name}}).
  • Verify the “From” and “To” addresses are valid and correctly typed.
  • If you see authentication errors, re-check SMTP/email service credentials.
  • If you see domain warnings, verify SPF, DKIM, and DMARC records for the sending domain.

Test email shows “sent” but never arrives

  • Check spam/junk and any email filtering rules.
  • Send to a different provider (Gmail/Outlook) to compare deliverability.
  • Confirm your sending domain is properly authenticated and not newly changed without DNS propagation.

SMS didn’t arrive during workflow testing

  • Confirm the test contact has a valid mobile number in the correct format.
  • Check the contact’s activity/logs to see if the SMS step failed or was skipped.
  • Verify your phone/SMS configuration and any compliance settings that could block sending.

Test before you launch

Run real workflow tests to confirm personalization, timing, and delivery—so every lead gets the right message at the right time.

Frequently Asked Questions

Why should I run myself through a workflow instead of only sending a test email?

Workflow testing uses a real contact record, so custom values populate correctly and you see the true timing and message order.

What should I check if I don’t receive a workflow test message?

Confirm the workflow is published and the contact is enrolled. Then check the contact record activity to see whether the message was sent, failed, or is waiting.

Why aren’t custom values filling in during a test email?

Test sends may not pull in contact data. Use workflow testing with a real contact for an accurate preview of personalization.

What do I check if my test email fails to send?

Verify custom value formatting, confirm the recipient address, check email service authentication, and ensure SPF/DKIM/DMARC are set up correctly.

Confidently launch Email & SMS automations

Use workflow testing to confirm your templates look right, your variables populate, and your messages deliver reliably before going live.
