How to Move or Remove Contacts from Workflow Steps

Manage enrollment inside BizStackPro workflows by moving contacts forward or removing them safely when adjustments are needed.

Fixing Workflow Enrollment Problems Instead of Restarting Automation Completely

Workflow automation sometimes needs adjustments when contacts enter at the wrong time, become stuck waiting, trigger automation accidentally, or need to move forward without restarting the entire process.

BizStackPro provides workflow enrollment management tools that allow businesses to remove contacts, advance workflow steps, and manage enrollment behavior without rebuilding automation systems.

Without enrollment controls, businesses may create reporting problems, trigger duplicate automation activity, remove the wrong contacts accidentally, or spend unnecessary time rebuilding workflows to correct simple issues.

This guide explains how to move contacts forward safely, remove contacts when needed, manage enrollment history correctly, and maintain cleaner workflow automation inside BizStackPro.

Before adjusting active workflow enrollments, it helps to understand how workflow steps, enrollment history, contact movement controls, automation paths, and workflow management tools work together inside BizStackPro.

Why You Might Need This

Sometimes contacts enroll at the wrong time (wrong trigger, wrong tag, duplicate form submission), or you need to push someone past a wait step without restarting the entire workflow. BizStackPro gives you two ways to manage contacts already inside your workflow: step-level controls for “everyone waiting here,” or Enrollment History for one-contact precision.

  • Remove mistakes (contacts enrolled unintentionally)
  • Move contacts forward without restarting the workflow
  • Manage one contact without impacting everyone else

Option 1: Manage Contacts from a Workflow Step

If multiple contacts are waiting in the same step, you can manage them directly from that step using the step-level controls.

  1. Go to Automation → Workflows and open the workflow.
  2. Locate the step where contacts are waiting.
  3. Click the user icon at the top of that step to view contacts/options.
  4. Choose the action you want to run.

What the icons do

  • Trash Can: Removes all contacts currently waiting in that step from the workflow entirely.
  • Running Man: Moves all contacts currently waiting in that step forward to the next step.

Important: Step-level actions affect every contact waiting in that step. If you only need to move/remove one person, use Enrollment History instead.

Option 2: Manage Individual Contacts Using Enrollment History

Enrollment History is the safest option when you need to move or remove a single contact without touching anyone else.

  1. Open the workflow in the Workflow Builder.
  2. Click the Enrollment History tab.
  3. Find the contact you want to manage.
  4. Select Delete (remove) or Move to Next Step (advance).

Best practice: Use Enrollment History any time you’re unsure how many contacts are in a step. It prevents accidental changes to multiple people.

Quick Checklist Before You Move or Remove

  • Confirm the workflow is the correct one (name + folder).
  • Decide whether you’re affecting one contact (Enrollment History) or everyone in a step (step-level controls).
  • If removing, remember it can’t be undone—plan how you would re-enroll if needed.

Keep enrollment clean and intentional

Contact management tools help you correct mistakes quickly—without rebuilding your workflow or confusing your reporting.
