As teams grow, it becomes harder to manage who should have access to contacts, conversations, calendars, payment data, and other sensitive business information.

BizStackPro allows admins to manage user profiles, assign permissions, restrict visibility with Only Assigned Data, and configure outbound communication settings for individual staff members.

Poor permission management can expose sensitive data, create workflow confusion, or allow users to access records and exports they should not be able to view.

This guide explains how to edit user information, adjust roles and permissions, limit access by assignment, and configure user-specific calling and voicemail settings inside the account.

Before changing permissions or restrictions, it helps to understand how BizStackPro organizes staff access and user management.

Overview

BizStackPro lets admins manage staff members from the My Staff area—updating user details, assigning roles, controlling permissions, and limiting access to sensitive information. You can also set outbound calling defaults and voicemail settings per user.

Best practice: Use roles for broad access, then apply Only Assigned Data for sales teams, contractors, or anyone who should only see their own leads, opportunities, and calendars.

Step 1: Open User Management

  1. Click Settings (bottom-left of your BizStackPro dashboard).
  2. Select My Staff.
  3. Find the user you want to update and click Edit.

You’ll typically see tabs like User Info and Roles & Permissions. If you don’t see permission controls, you may not have admin access in that account.

Step 2: Edit User Info

In the User Info tab, update profile and login details such as:

  • Name
  • Email address
  • Phone number
  • Password (if applicable)
  • Email signature
  • Calendar assignment (if your setup supports assigning calendars)

Tip: If a user is missing key notifications or calendar access, confirm their assigned email/phone is correct and that they’re assigned to the right calendar resources.

Step 3: Update Roles & Permissions

In Roles & Permissions, you can toggle access to system areas and actions. Depending on your account setup, permissions may control whether a user can:

  • View, create, edit, or delete items
  • Access conversations, contacts, calendars, pipelines, and reporting
  • Manage settings or integrations (admin-level access)

Recommendation: Start with the closest role match (Admin/User) and then tighten access by turning off unnecessary modules and exports.

Step 4: Enable “Only Assigned Data”

Only Assigned Data limits what a user can see and interact with—so they only access records and resources assigned to them.

What this typically restricts

  • Contacts & conversations: Only assigned contacts (and related conversations).
  • Pipelines/opportunities: Only assigned opportunities.
  • Calendars/appointments: Only assigned calendars and relevant appointments.
  • Workflows/campaigns: Often view-only or restricted when not directly assignable.

Important: Some items (like certain global assets) can’t be assigned per user. Enabling Only Assigned Data may hide those areas entirely for that user.

Step 5: Restrict Payment Data Exports

If your permissions list includes payment-related export settings, you can disable a user’s ability to export invoices, transactions, and subscriptions as CSV.

Why this matters: Export access can expose sensitive revenue and customer data. For non-finance roles, it’s often safest to turn exports off.

Step 6: Assign Outbound Number & Voicemail

In Call and Voicemail Settings, you can typically:

  • Assign one outbound phone number per user (for calls/messages, depending on your setup).
  • Upload or select a voicemail recording for that user (if available).
