Email and Phone Number Mapping in Triggers

Automatically capture clean email addresses and phone numbers from customer replies—so contact records stay accurate and automations keep working.

Important Note

The legacy Triggers feature is deprecated and has been replaced by Workflows. For the recommended setup going forward, use the Workflow action Update Contact Field.

Capturing Missing Contact Information Without Manual Data Entry

Leads and customers often reply to messages with their email address or phone number mixed into a larger sentence, which can make manual data entry slow and inconsistent.

The Email and Phone Number Mapping feature inside BizStackPro Triggers automatically extracts clean email addresses and phone numbers from customer replies and saves them directly into contact records.

Without automated contact field mapping, CRM records can remain incomplete, follow-up automations may fail, and teams may waste time manually updating customer information.

This guide explains how to configure reply-based field mapping, apply trigger filters, capture email and phone values, and transition these automations into modern Workflow actions inside BizStackPro.

Before building reply-based contact capture automations, it helps to understand how Customer Replied triggers, field mapping filters, and Workflow-based contact updates function inside BizStackPro.

What This Does

This legacy approach maps an email address or phone number from a customer reply into the matching field on the contact record. If someone replies with extra words (a long SMS or email), the mapping extracts only the email address or phone number and ignores the additional text—helping keep your CRM clean automatically.

Best use: When you ask a lead to “reply with your email” (or phone), then want BizStackPro to store the clean value without manual copy/paste.

Step 1: Create Your Trigger

In the legacy Triggers section, create a new rule and apply any filters you need (many users filter by campaign so the trigger only fires when intended).

Part 1: Set the Trigger Event

Choose Customer Replied. This activates the rule when a contact replies to your SMS or email.

Part 2: Map Email or Phone Number

In the Action section, configure the mapping:

  • Select the destination field: Email or Phone.
  • Choose the filter type: Email or Phone.
  • In the value box, enter: (no spaces).

Tip: If you want to capture both fields, create two separate mapping actions—one for Email and one for Phone.

Step 2: Apply Filters for the Right Scenarios

To make sure the trigger only runs during the right conversations, use filters such as:

  • Campaign type
  • Reply channel (SMS vs. email)
  • Contact tags
  • Custom attributes

Example prompt:

“Hey, it's me! I want to send you a free download. What’s your email address?”

If the contact replies with “Thanks! It’s [email protected]” (or includes extra words), the trigger extracts only [email protected] and stores it in the Email field.

Why Use Email/Phone Mapping?

  • Keeps contact data clean and reliable.
  • Reduces manual data entry and prevents mistakes.
  • Works with SMS and email replies (via Customer Replied).
  • Improves automation accuracy when campaigns depend on complete contact records.

Frequently Asked Questions

What happens if a customer responds with a long message?

The trigger identifies only the email address or phone number and maps it to the contact record, ignoring the extra text.

Can this feature work for both email and SMS campaigns?

Yes. The mapping works on replies from SMS or email when using the Customer Replied trigger event.

How do I ensure the trigger only applies to specific campaigns?

Use filters like campaign type, reply channel, or contact tags so the rule only runs during the campaigns you intend.

What if I need to capture both an email and a phone number?

Create two separate mapping actions—one for Email and one for Phone—both using with the appropriate filter type.

Is this feature still available in the latest workflow updates?

Yes, but Triggers are deprecated. The recommended method is using Workflows with the action Update Contact Field.

Keep your CRM clean and your automations smart

When contact fields stay accurate, follow-up sequences run smoother. Use reply-based mapping to capture the right values automatically—then build future updates in Workflows for long-term reliability.
