Opportunity workflow actions give you precise control over how deals are found, created, updated, assigned, and removed—so your pipeline stays clean, accurate, and easy to manage.
Sales processes become harder to manage when opportunities are created inconsistently, ownership is unclear, pipeline stages are updated manually, or outdated deals remain in the system.
BizStackPro provides multiple opportunity workflow actions that allow businesses to create, find, update, assign, follow, and remove opportunities automatically as leads move through the sales process.
Without structured opportunity automation, businesses may create duplicate records, lose pipeline visibility, overlook deal progression, generate reporting inaccuracies, or spend unnecessary time managing opportunities manually.
This guide explains the available opportunity workflow actions, when each should be used, and how to build cleaner pipeline automation systems inside BizStackPro.
Before automating opportunity management, it helps to understand how pipelines, opportunity records, ownership assignments, workflow triggers, stage progression, and automation actions work together inside BizStackPro.
BizStackPro includes several opportunity-related workflow actions designed to give you fine-grained control over your sales pipelines. Each action serves a different purpose—so you can create deals when they’re new, update them as they progress, assign the right people, and remove deals that are no longer valid.
Pro move: Build your pipeline logic around a simple pattern: Create for new leads → Find when you need to reference the correct deal → Update when progress happens → Assign to keep ownership clear → Remove when a deal should be cleaned up.
What it does: Locates the earliest or most recent opportunity associated with a contact.
When to use it: Use this action when your workflow needs to reference a specific deal before updating stages, owners, or values.
What it does: Creates a brand-new opportunity in a selected pipeline and stage.
When to use it: Ideal for new leads, inbound forms, appointments, and any scenario where a fresh deal should be created without affecting existing records.
What it does: Updates fields like stage, pipeline, value, name, owner, and other opportunity details.
When to use it: Best for moving deals forward automatically when a lead takes action or reaches a new point in your sales process.
Avoid overwrites: Only set the fields you truly intend to change. Extra mapped fields can overwrite information your team entered manually.
What it does: Assigns (or removes) responsibility for an opportunity.
When to use it: Use this action to ensure the correct sales rep owns the deal—or to free the deal for reassignment during handoffs.
What it does: Controls who receives notifications and visibility on an opportunity.
When to use it: Add stakeholders who need updates, and remove followers to prevent notification overload.
What it does: Removes a specific opportunity, the triggering opportunity, or all opportunities within a selected pipeline.
When to use it: Clean up canceled, lost, or invalid deals so your pipeline stays accurate and easy to manage.
The legacy Create or Update Opportunity action has been split into Create Opportunity and Update Opportunity. This provides better control, reduces accidental overwrites, and supports future workflow enhancements.
Testing tip: Test with (1) a contact that has no opportunities and (2) a contact that already has an opportunity. This helps you confirm behavior and avoid duplicates.
Use the right opportunity action at the right time—so your automation stays predictable and your pipeline stays clean.
Opens in a new tab.
Always double-check the filters and the fields you’re setting in the Update Opportunity action. Use precise conditions so only the intended opportunity is updated.
Yes. The Remove Opportunity action can remove a specific opportunity, the opportunity that triggered the workflow, or all opportunities within a selected pipeline.
Removing an owner frees the opportunity for reassignment. If syncing with the contact owner is enabled, the contact owner may be updated as well.
Use Find Opportunity to reference the earliest or latest opportunity for a contact when your workflow logic depends on a specific deal or pipeline stage.
You can add multiple followers as needed, but it’s smart to remove unnecessary followers to avoid notification overload.
Use Find, Create, Update, Owners, Followers, and Remove actions to keep your pipeline accurate—and your team aligned on every deal.
Cleaner stages. Better reporting.
