Customizing the From Email Address in Workflows

Learn how to mask and customize the From Email address in BizStackPro workflows to improve branding, deliverability, and engagement.

Making Workflow Emails Look Professional Instead of Confusing Recipients

Email automation can quickly lose trust when recipients see unfamiliar sender information, inconsistent branding, or email addresses that do not match the business they expect to hear from.

BizStackPro workflows allow businesses to customize and mask the From Email address so workflow emails can use consistent sender details that support branding, trust, and better email deliverability.

Without proper sender configuration, businesses may increase spam filtering risks, reduce email engagement, create branding confusion, or accidentally send emails from fallback system addresses.

This guide explains how to customize From Email settings at both the workflow level and individual email step level, while improving sender consistency and email deliverability inside BizStackPro workflows.

Before customizing workflow sender settings, it helps to understand how dedicated sending domains, sender masking, dynamic sender values, Business Profile email settings, and email deliverability work together inside BizStackPro automation systems.

Overview

In BizStackPro workflows, you can set a default sender so your emails look consistent and professional. This is commonly called “masking” the From email address—meaning your workflow emails can appear to come from a trusted brand sender instead of an unexpected or unassigned user email.

You can configure sender details at the workflow level (applies to all Send Email steps), or override it per individual Send Email action.

Deliverability note: Your From Email domain should match the dedicated sending domain configured in Email Services. A mismatch can increase spam filtering.

What This Helps You Do

  • Mask the sender email address in workflows.
  • Use consistent branding across outgoing emails.
  • Override sender details per workflow or per email step.
  • Improve deliverability using verified sending domains.

Option 1: Set the From Email in Workflow Settings

This option sets a default sender for all Send Email actions inside the workflow.

  1. Go to Automation → Workflows.
  2. Open the workflow you want to update (or click Create Workflow).
  3. Click Settings inside the workflow.
  4. Under Sender Details, configure:
    • From Name
    • From Email (static email or a custom/dynamic value)
  5. Save your workflow changes.

Tip: You can use dynamic values (such as an assigned user email) to personalize the sender automatically.

Option 2: Set the From Email Per Send Email Action

This option lets you customize the sender for each specific email step inside the same workflow.

  1. Inside the workflow builder, click the + button.
  2. Select Send Email.
  3. Enter a custom From Name and From Email.
  4. Save the action.

Important: If a lead is not assigned to a user and sender fields are left blank, BizStackPro uses the email from your Business Profile as the fallback sender.

Best Practices & Deliverability Notes

  • Match your sending domain: the From Email domain should match the dedicated domain configured in Email Services.
  • Use a recognizable From Name: improves opens and reduces spam complaints.
  • Test before publishing: send a test email and verify the sender displays correctly in inboxes.
  • Set a reliable fallback: configure a consistent Business Profile sender email.

Frequently Asked Questions

Can I use a custom value for the From email address?

Yes. You can use a custom value in workflow settings to dynamically set the From email address, such as using an assigned user’s email or another variable.

What are the benefits of masking the From email address?

Masking improves branding consistency, email deliverability, and engagement by ensuring emails appear to come from a recognizable sender.

Can I change the From email address for individual emails in the same workflow?

Yes. Each Send Email action can have its own From Name and From Email configured independently.

What happens if a lead is not assigned to a user?

If the lead is not assigned and fields are empty, BizStackPro uses the Business Profile email as the sender.

Why must the From Email domain match my dedicated sending domain?

The From Email domain must match the dedicated domain in Email Services to avoid spam filtering and improve deliverability.
